Privacy Policy

1. Who We Are

The Language Access Lab Inc. (“we,” “us,” or “our”) operates the Community Hub platform. We are committed to protecting the privacy of our users and complying with applicable data protection laws, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).

2. Data We Collect

We collect the following categories of personal data:

  • Account data: email address, password (hashed)
  • Profile data: full name, phone number, location, bio, professional credentials, certifications, languages, specializations, years of experience, hourly rate
  • Connection request data: requester name, email, phone, event details
  • Usage data: pages visited, features used (collected anonymously)
  • Consent records: timestamps and versions of terms and privacy policy acceptance

3. Legal Basis for Processing (GDPR)

We process your data under the following legal bases:

  • Consent: you actively agree to our terms and privacy policy during registration
  • Contract: processing necessary to provide the platform services you requested
  • Legitimate interest: platform security, fraud prevention, and service improvement

4. How We Use Your Data

  • To create and manage your account
  • To display your profile in the interpreter directory (subject to your privacy settings)
  • To facilitate connection requests between users
  • To send service-related communications
  • To improve the platform and user experience

5. Privacy Controls

You control what information is publicly visible through your profile privacy settings. You can choose to show or hide your name, photo, full location, and certifications from the public directory. Your email and phone number are never displayed publicly — they are only shared when someone downloads your contact card via your personal QR code.

6. Data Sharing

We do not sell your personal data. We share data only with:

  • Supabase: our database and authentication provider (data stored securely in the cloud)
  • Anthropic: bio generation feature only — your answers to bio questions are sent to generate your professional bio. No other personal data is shared.
  • Legal requirements: if required by law, regulation, or legal process

7. Your Rights (GDPR & CCPA)

You have the right to:

  • Access: request a copy of all personal data we hold about you
  • Rectification: correct inaccurate data via your profile settings
  • Erasure (“Right to be Forgotten”): request deletion of your account and all associated data
  • Portability: receive your data in a structured, machine-readable format (JSON export)
  • Withdraw consent: you may withdraw consent at any time by deleting your account
  • Object: object to processing based on legitimate interest

You can exercise your data access and deletion rights directly from your profile settings in the portal. For other requests, contact us at privacy@thelanguageaccesslab.org.

8. Data Retention

We retain your personal data for as long as your account is active. When you delete your account, all personal data is permanently removed within 30 days. Connection request records may be retained in anonymized form for operational purposes.

9. Cookies

We use essential cookies only for authentication and session management. We do not use tracking cookies or third-party analytics cookies. No cookie consent banner is required for essential-only cookies under GDPR, but we inform you of their use here for transparency.

10. Data Security

We implement industry-standard security measures including encrypted connections (HTTPS/TLS), row-level security policies, hashed passwords, rate limiting, and security headers. Despite these measures, no method of transmission or storage is 100% secure.

11. Children

The platform is not intended for use by anyone under 18 years of age. We do not knowingly collect personal data from children.

12. Changes to This Policy

We may update this privacy policy from time to time. Material changes will be communicated to registered users via email or platform announcement. Continued use of the platform constitutes acceptance of the updated policy.
